AI Reporter is an AI-powered web app that automatically transforms your audio recordings from meetings, interviews, and conversations into structured, professional reports. The application uses state-of-the-art artificial intelligence (Gemini 2.5 Pro) to create high-quality transcripts and extract important information.

AI Reporter is aimed at professionals from various fields:

  • Companies: Meetings, strategy sessions, team discussions

The process is simple and takes only 3 steps:

  1. Upload audio: Upload your audio file (MP3 or M4A) directly to the app
  2. Configure: Select the conversation type (e.g., Meeting) and optionally add context (participant names, topic, etc.)
  3. Receive report: The AI processes your recording and creates a structured report within minutes

Processing time depends on the length of your recording:

  • 30 minutes audio: approx. 2-3 minutes processing
  • 1 hour audio: approx. 4-6 minutes processing
  • 2 hours audio: approx. 8-12 minutes processing

You'll be notified by email once the report is ready.

AI Reporter goes far beyond pure transcription:

Yes, all subscriptions can be canceled monthly. There are no long-term contracts or hidden fees.

When you reach your quota (e.g., 10 reports with Basic), you can:

  • Upgrade to the next plan (activated immediately)
  • Wait until next month (quota automatically resets on the 1st of the month)
  • Top Up option for one-time additional reports

You can see your current usage in the dashboard at any time (e.g., "7 of 10 reports used this month").

Yes, all payments are securely processed through Stripe, one of the world's leading payment providers. Your payment data is never stored with us.

Yes! You can upgrade or downgrade at any time:

  • Upgrade: Takes effect immediately, you pay proportionally for the rest of the month
  • Downgrade: Takes effect from the next billing cycle

AI Reporter accepts the following formats:

  • MP3 (.mp3)
  • M4A (.m4a)

Tip: Most smartphones save voice recordings in M4A or MP3 by default.

The maximum file size is 100 MB.

This equals approximately:

  • At 128 kbps (normal quality): approx. 1 hour 45 minutes
  • At 64 kbps (low quality): approx. 3 hours 30 minutes

Tip: 64-128 kbps is perfectly sufficient for voice processing!

Minimum requirements:

  • Bitrate: 64 kbps or higher
  • Sample rate: 44.1 kHz (standard)
  • Mono or Stereo

Recommended for best results:

  • Bitrate: 64-128 kbps
  • Quiet environment (minimal background noise)
  • Clear pronunciation from speakers
  • If necessary: use external microphone

For simple meetings:

  • Smartphone: Built-in Voice Recorder app (iPhone, Android)
  • Laptop: QuickTime Player (Mac), Voice Recorder (Windows)

Alternatives:

  • Desktop software: Audacity (free), GarageBand (Mac)
  • Professional recorders: Zoom H1n, Tascam DR-05X
  • Video calls: Zoom, Microsoft Teams (recording function)

Tip: Most modern smartphones already deliver excellent audio quality!

Not necessarily. In most situations, your smartphone is perfectly sufficient.

An external microphone makes sense when:

  • Distance to the recording device is too large (more than 10 meters)
  • Room acoustics are poor (echo, reverb)
  • Many background noises are present

Budget tip: A simple lavalier microphone (15-30€) already significantly improves quality.

Currently (v1.0), only pure audio files are supported.

Workaround: If you have a video file:

  1. Extract the audio (e.g., with VLC Media Player or online tools like CloudConvert)
  2. Export as MP3 or M4A
  3. Upload the audio file to AI Reporter

Security is top priority at AI Reporter. We use a three-tier security architecture:

  1. Public API Server: Authentication and validation (metadata only)
  2. Tailscale VPN: End-to-end encrypted connection (WireGuard-based)
  3. Internal processing server: Completely isolated, no public IP

Important: Your sensitive audio files are NEVER stored in a publicly accessible database!

All data is processed exclusively in Europe:

  • Server location: Germany (Hetzner)
  • AI processing: Google Vertex AI (EU region with GDPR-compliant direct contract)
  • No data transfer to third countries

Yes, AI Reporter is fully GDPR compliant:

  • All data remains in the EU
  • Vertex AI with data processing agreement (DPA)
  • Automatic deletion of audio files after processing
  • You retain full control over your data
  • Transparent privacy policy

Your original audio files are automatically deleted after successful processing. They are kept for a maximum of 24 hours (as a safety net for technical issues).

What remains permanently:

  • Your finished reports (PDF, Markdown, DOCX)
  • Transcripts (text)
  • Analysis results

What gets deleted: Original audio

You have full access to all your reports via your dashboard.

Our technical team has administrative access to the database but uses it exclusively for:

  • Support requests: When you open a support ticket and explicitly ask for help
  • Backups & Recovery: For backing up your data and recovery in case of technical issues
  • Technical maintenance: For troubleshooting and system optimization
  • Legal obligations: For regulatory requests (only with legal basis)

Important: We never access your data without valid reason. All administrative access is logged. Your data is never shared with third parties (except when legally required).

Yes! You can at any time:

  • Delete individual reports (in the dashboard)
  • Delete your entire account (in profile settings)

After account deletion, all your data will be irrevocably deleted within 30 days.

No! Your data is never used to train AI models. We have a direct contract with Google Vertex AI that contractually excludes this.

A report is a processed transcription generated with customizable layout and various text processing options.

The processed transcription goes through an intelligent pipeline that not only linguistically and logically refines the transcription but also processes the selection of so-called supplements content-wise.

Reports can be downloaded in 3 formats:

  • PDF: Perfect for printing or sharing
  • Markdown (.md): Ideal for Notion, Obsidian, GitHub
  • DOCX (Word): Editable in Microsoft Word, Google Docs, LibreOffice

All formats are professionally formatted and immediately usable.

Supplements are structured additional reports created from your conversation. They complement the transcript with specific evaluations and help you document important information clearly.

You select your desired supplements in the configuration step. In the future, AI Reporter will automatically suggest appropriate supplements based on your conversation type.

Currently available supplements:

1. Brainstorming

  • Structures all discussed ideas and application scenarios
  • Categorizes by business models, industries, technologies
  • Ideal for: Brainstorming, innovation meetings, strategy discussions

2. Summary

  • Compact overview of the entire conversation (5-8 sentences)
  • Main topics, decisions
  • Ideal for: Quick reference, sharing with colleagues

3. Planning Status

  • Automatic project tracking for planning conversations
  • Completed tasks, progress, new tasks, milestones, risks
  • Ideal for: Sprint planning, status meetings, project documentation

Important: Supplements do not incur additional costs and are available in all export formats. A report can contain multiple supplements.

Yes! AI Reporter automatically recognizes different speakers and assigns them (e.g., "Speaker 1", "Speaker 2").

Tips for better results:

  • Provide participant names in the context field (e.g., "Participants: Max Müller, Anna Schmidt, Tom Wagner")
  • The AI can then often correctly assign speakers

Yes! You have two options for adding context:

Option 1: Speak it during recording (Recommended)

  • Speak important information at the beginning of your recording
  • Example: "Hello, this is our weekly marketing team meeting. Participants are Max Müller, Anna Schmidt, and Tom Wagner. Today we're discussing the new Q2 2025 campaign."
  • The AI recognizes and processes this information automatically
  • Exception: Names with unique spelling or unknown technical terms should be entered in the text field

Option 2: Enter as text in configuration step

  • After upload, you can add context in the text field
  • Ideal for: special spellings, technical terms, abbreviations

Useful context information:

  • Participant names (especially with unusual spelling)
  • Meeting topic/agenda
  • Project name
  • Important technical terms or abbreviations
  • Company-specific terminology

Yes! If you have similar meetings regularly (e.g., weekly team meeting), you can save your context input as a template and reuse it next time.

Yes! If multiple languages are spoken in your meeting (e.g., German and English), the AI automatically detects this and correctly transcribes both languages.

Use the "Forgot Password" function on the login page:

  2. Enter your email address
  3. You'll receive a reset link via email
  4. Follow the link and set a new password

You can cancel your subscription at any time:

  1. Go to Settings → Subscription
  2. Click "Cancel Subscription"
  3. Confirm cancellation

Important: Your cancellation takes effect at the end of the current billing period. Until then, you can continue using the app.

Yes! After each payment you automatically receive an invoice via email (from Stripe). You can use this for your accounting. Additionally, your invoices are always available in the "Subscriptions" menu.

Common causes and solutions:

1. File too large (>100 MB)

  • Solution: Compress the audio file (e.g., with Audacity: reduce bitrate to 64-96 kbps)

2. Wrong format

  • Solution: Convert to MP3 or M4A (e.g., with CloudConvert, VLC)

3. Unstable internet connection

  • Solution: Try with more stable WiFi or wait a few minutes

4. Browser issue

  • Solution: Update your browser or use Chrome/Firefox

If nothing helps: Contact our support with error message details.

Possible reasons:

1. Audio quality too poor

  • AI couldn't process the recording (too much noise, too quiet)
  • Solution: Re-record in a quieter environment

2. Technical error

  • Temporary server issue
  • Solution: Try again after a few minutes

3. Unexpected file format

  • File is corrupted or has wrong codec
  • Solution: Re-export the audio file

The app shows you an error message with a "Retry" button. Your credits are not deducted for failed processing!

Common causes:

1. Poor audio quality

  • Too quiet, too much background noise, echo
  • Tip: Use an external microphone next time

2. Strong dialects or specialized language

  • AI had difficulties with specific terms
  • Tip: Add technical terms in the context field

3. People talking over each other

  • Multiple people speaking simultaneously
  • Tip: Ask participants to speak one at a time

Important: Even with suboptimal audio quality, AI Reporter usually delivers usable results!

Currently (v1.0), speaker recognition is automatic and cannot be manually corrected.

Workaround:

  • Export the report as DOCX
  • Manually edit speaker assignment in Word

Unfortunately no. After account deletion, all data is irrevocably deleted (GDPR requirement).

  • Use reports in your company
  • Share reports with third parties

You! All reports you create with AI Reporter are completely yours. You can freely use, share, or sell them.

AI Reporter is provided "as-is". We assume no liability for:

  • Content errors in reports (please review the results)
  • Data loss (create backups of important reports)
  • Business damages
